PrismOS

Privacy Policy

Effective date: October 8, 2026  ·  Last updated: October 8, 2026

This Privacy Policy explains how PrismOS collects, uses, stores, protects and shares information, including information we receive from Google when you connect a Google account. PrismOS is a private software platform used by the licensed real estate agents, team leaders and staff of our brokerage.

1. Who we are

PrismOS is operated by Teamkar Realty, Inc. d/b/a Realty ONE Group Advantage, a Florida real estate brokerage based in Lutz, Florida (“we,” “us” or “our”). We are responsible for the information processed through PrismOS. You can reach us at dara@brokerdara.com.

2. Information we collect

Account information

Your name, email address, role, team and the password you set (stored only as a secure hash by our authentication provider).

Information you add

Contacts, leads, transactions, tasks, notes, documents, voice notes and recordings, and other content you enter or upload.

Phone activity from Quo

If your brokerage phone line runs on Quo (formerly OpenPhone), PrismOS receives the calls, text messages, voicemails and call recordings for that line, along with the phone numbers and contact names involved, so they appear on the right contact and lead.

Technical information

Basic sign-in and error logs, device and browser type, and, if you turn them on, push notification subscription details for your browser or phone.

Other connected services

If you choose to connect Dropbox or iCloud, PrismOS accesses only the files or calendars needed for the features you turn on.

3. Google user data we access and why

Connecting a Google account is optional. You choose what to connect it for, and PrismOS requests only the permissions needed for that purpose. You see each permission on Google’s consent screen before you approve it.

Google serviceWhat PrismOS accessesWhy
Basic profileYour Google email address, name and profile identifier. To know which Google account is connected and to show it in your settings.
GmailEmail messages, threads, labels, attachments and send-as addresses. PrismOS can also send email, create replies and change labels (for example archive, mark as read, snooze or move to trash) when you ask it to.To show your email inside PrismOS next to the right contact, lead or transaction; to recognize new leads and client messages; to prepare reply drafts for you to review; to send messages you write or approve, or schedule yourself; and to keep PrismOS and Gmail in step.
Google Calendar (events)Your calendar events, including creating, updating and deleting events. PrismOS does not access your calendar settings or sharing. To show your schedule, sync appointments and showings both ways, power booking links, and help plan your day.
Google Contacts (read-only)Your saved contacts and their details. To import your contacts into PrismOS and keep them matched to your clients and leads. PrismOS has read-only access and never changes anything in your Google Contacts.
Google Drive (read-only, optional)Read access to your Drive files. This is never requested when agents connect Google; it is offered only to brokerage administrators who turn on call-recording import or the commission spreadsheet sync.To import new call recordings from the folder you choose and to read the commission spreadsheet you select. PrismOS cannot change or delete anything in your Drive.

Gmail and Calendar changes are pushed to PrismOS through Google’s own notification service (Google Cloud Pub/Sub), which tells PrismOS that something changed so it can sync.

4. How we use information

We use information, including Google user data, only to provide and improve the features of PrismOS that you use, specifically to:

PrismOS does not send email from your Gmail account on its own. Messages go out only when you send them, approve a draft, or set up a scheduled send.

5. AI features

Some PrismOS features use artificial intelligence services to read content and produce a result for you, such as sorting your inbox, summarizing a thread or a call, drafting a reply, or finding the right document. To do this, the relevant content (which can include Google user data such as an email or calendar event) is sent securely to the AI provider handling that feature, processed to return a result, and is not used by us for any other purpose.

6. How we share information

We do not sell your information, and we do not use or share Google user data for advertising, including personalized, retargeted or interest-based advertising. We do not share Google user data with data brokers or information resellers, and we do not use it to determine credit-worthiness or for lending purposes.

We share information only with the service providers below, who process it on our behalf to run PrismOS, under contracts that limit their use of it to providing their service:

Inside the brokerage, what you see is limited by your role. Your Google email, Google Calendar events and Google contacts are visible only to you; they are never shown to your broker, team leaders or teammates. Authorized brokerage administrators and team leaders can use an audited support feature to view PrismOS as a team member sees it, for example to help with a problem or set up an account; every such session is logged, and support sessions cannot see your Google email, calendar or contacts. We may also disclose information if required by law, to protect the rights, safety and security of our users and the public, or as part of a merger or sale of the business, subject to this policy.

7. Human access to Google user data

No person at our brokerage reads your Google user data (such as the content of your emails) unless (a) you give your permission, for example by asking for help with a specific message; (b) it is necessary for security purposes, such as investigating abuse or a security incident; (c) it is necessary to comply with applicable law; or (d) the data has been aggregated and anonymized and is used for our internal operations.

8. Google API Services: Limited Use disclosure

PrismOS’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

In particular, we use Google user data only to provide and improve the user-facing features described in this policy; we transfer it to others only as necessary to provide those features, for security purposes, to comply with law, or as part of a merger or acquisition; we do not use it for advertising; we do not allow humans to read it except as described in section 7; and we do not use it to train generalized AI or machine-learning models.

9. How we store and protect information

No system is perfectly secure, but we work to protect your information and will notify affected users of a security breach as required by law.

10. Retention

We keep information for as long as your PrismOS account is active or as needed to provide the service. Real estate brokerages are also required to keep certain transaction records; we keep those for the period the law requires. Some audio recordings are deleted automatically after transcription while the transcript is kept. When you request deletion, we delete or anonymize your information as described below, except where we must keep specific records by law.

11. Your choices: revoking access and deleting data

Disconnect or revoke Google access

Delete your data

Disconnecting stops new data from flowing in, but does not by itself erase what was already synced. To have your Google user data, or your entire PrismOS account and its data, deleted, email dara@brokerdara.com from the address on your account. We will confirm your request and complete the deletion within 30 days, including removing stored Google tokens and the emails, events and contacts synced from Google. Copies in encrypted backups are overwritten on our provider’s regular backup cycle.

You can also ask us for a copy of your information, or to correct it, at the same address.

12. Children

PrismOS is a business tool for adult real estate professionals. It is not directed to children under 13 (or under 16 where that is the applicable age), and we do not knowingly collect their personal information. If you believe a child has provided us information, contact us and we will delete it.

13. Changes to this policy

We may update this policy from time to time. If we make a material change, especially to how we use Google user data, we will update the date above and notify users in PrismOS or by email before the change takes effect, and ask for your consent where required.
